Follow these steps to upload your contacts and start working with your database in the CRM.
Access the Contacts Section
1. Log in to your CRM sub-account.
2. On the left-hand menu, click “Contacts.”
3. Make sure you are in the “Smart Lists” section.
4. At the top left, click the icon for “Import Contacts.”
Start the Import Process
5. A pop-up window will appear to begin uploading your CSV file.
6. The option “Contacts” will be selected by default — leave it as is.
7. Click the “Next” button at the bottom right of the screen.
Download and Prepare the CSV Template
8. Click on “Download a sample file” to get the CRM's preformatted template.
9. Open the downloaded file using Google Sheets (or Excel).
10. The file includes a sample table with standard headers such as:
- First Name, Last Name, Email, Phone, etc.
Note:
You must include at least one of the following fields per contact:
- Phone number
Organize and Fill Out Your Contact Data
11. Arrange the columns in your contact sheet to match the order and format of the template.
12. If you want to add additional data (e.g., City, Birthday), add those columns to the right of the existing ones.
13. Use accurate header names for each column — do not modify or delete them.
14. Delete the sample data but keep the headers.
15. Paste your contact list into the sheet.
16. Once done, go to:
- File → Download → Comma Separated Values (.csv)
Upload Your CSV File
17. Go back to the CRM import window and click “Upload File.”
18. After the file uploads, scroll to the section called “Choose How to Import Contacts.”
19. Select the option “Create Contacts.”
20. Click “Next.”
Map Your CSV Fields
21. You’ll now enter the “Map” screen.
22. The CRM will read your file and try to match each column title with a CRM field:
- If it matches correctly, the “Mapped” status will appear.
23. If a column is not mapped automatically or you want to assign it manually:
- Click the dropdown next to the column.
- Choose the corresponding CRM field name.
Important:
Custom fields like City or Birthday must be pre-created in the CRM for them to appear in the dropdown list.
24. Make sure all fields show “Mapped.”
25. Click “Next” once everything is matched correctly.
Confirm and Finalize the Import
26. You’ll now see optional actions (such as adding tags or assigning owners).
27. To proceed, check the confirmation box that states:
- You have the consent of all contacts.
- You have contacted them in the last 12 months.
- The list is from your own source.
28. Click the “Start Bulk Import” button.
Your contacts will now start to appear in your Smart List.
The import happens progressively, and the time required depends on the size of the list.
It’s a good idea to refresh the page occasionally to track the progress.
